Create your own Personal Travel Planner and Itinerary Template

Create your own customized personal travel planner and itinerary using this template. I use this template to create a personal travel plan for each trip.
I like to print a copy to bring with me and use this personal travel planner as a quick reference for important details like addresses, pickup times, payment details, and costs in both my own currency and the currency of the country I am travelling to. I can easily see the schedule for each day, look at what activities or tours are booked and view details for flights, accommodations and transportation.
This is also a useful tool when budgeting for a new trip and usually, I’ll start by estimating costs of accommodation, flights, and transportation to get a general estimate of the trip budget.
Example: Peru Personal Travel Planner
This is an example of a completed personal travel planner for a 11-day trip to Peru with all important details easily accessible in one place.

Create Your Own Customized Personal Travel Planner
To create your own customized personal travel planner follow these steps:
- Add the dates of your anticipated travel in the first column. This may need to be adjusted to accommodate flight schedules.
- Look up schedules of flights or other transportation to get to and from your destination. Add your travel dates under the column titled “Travel, City, and Accommodation Details”. Longer flights might be split over more than one day in the schedule. Add any flight costs to the columns to the left of “Details of flights/tours/ activities”.
- Estimate how many days you will spend in each location and the dates you will travel between locations. Add these dates to the personal travel planner. Ensure the amount of travel time is realistic and not too rushed.
- Estimate the cost of accommodation in each city by looking up hotels in Booking.com and adding the cost to your personal travel planner. This can be changed and refined later when you are more certain when you want to stay.
- When you have a rough idea of which city you will be in each day estimate the costs of any transfers, or local accommodation to get you to and from your accommodation. Add the estimated costs in the columns to the left of “Details of flights/tours/ activities”.
- Once you know where you will be and when you research what you might want to do each day and add the costs of any tours or activities to in the columns to the left of “Details of flights/tours/ activities”. You can add more specifics later such as entry fees, opening times, etc.
- This Personal Travel Planner will now include most of your costs except food and general spending money for your trip. This is always unique for each person and may vary depending on whether you have an apartment and plan to eat out, if your food and drink are included, or how much you like to spend on souvenirs and shopping. For a rough budget estimate, I usually estimate about $100 Canadian dollars per day with adjustments for local currencies and higher or lower cost destinations.
